2. HOW TO BOOK

WHAT HAPPENS WHEN I COMPLETE MY RESERVATION?

 

• By completing the reservation, you enter into an agreement with us, which substantially means that, you:

 

a: Accept that we charge your credit card on the day you make a booking. Please note that we will check if your credit card is in order upon completion of the reservation. If it is not, or if our bank fails to connect to your bank (common for certain countries), no reservation can be made. In this case, please contact us by e-mail: support@BookHotelRUssia.net

 

b: Accept that we charge your card for the first night, if you fail to cancel no later than mentioned into " Rate Terms and Conditions" of the reservation.

 

HOW DO I PAY?

 

• As the final step of your reservation, you will be asked for your name, address and credit card number. This data is necessary to make a payment. We use SSL 128 bit encryption to ensure the safety of these data. Your privacy is sacred to us and we will not be using your data for any kind of promotion whatsoever. If you experience any problems with the reservation procedure, it is probably because your browser is too old to support encryption or that you have turned off the execution of Java-scripts.

 

CAN I TERMINATE MY BOOKING?

 

• Yes, you can delete the entire booking if you click on "Cancel booking" button in the basket.

 

WHEN HAVE I CONFIRMED THE BOOKING?

 

• Your booking is complete when you have filled in all the details on the page for "Customer details and payment" and clicked on "Confirm booking" at bottom right. When the booking is complete, your "Booking confirmation" will be shown, and at any time you can login and look at your current and earlier bookings. Click on "Log in" and use the user name and password you have received, together with your email confirmation.

 

• General conditions of payment & travel for individual reservations (up to 10 persons)

3. HOTELS AND PAYMENT TERMS

• Full payment is required at the time of booking. When making your booking you should quote the credit card number from which payment is to be taken. We will send you confirmation by email once payment has been authorized. All prices are stated and charged in Euros.

 

• Paying online and Customer Service

The following cards are accepted for payment: Visa and MasterCard.

4. CONFIRMATION

• Once your booking has been made, you will be sent confirmation by email. Please check that all the details agree with what you have booked!

5. CANCELLATION

• If you do not intend to use your booked hotel room, cancel your reservation as soon as possible here on our homepage. You can also fax in your cancellation to + 7-812-703 56 52.

 

• If the reservation is canceled less than mentioned in the Rate Terms and Conditions before arrival to the hotel, the 100% of room rate for the first night will be charged.

6. CHECK-IN / CHECK-OUT

• Usually check-in starts at 14:00 hrs (2:00 pm) on the arrival day; check-out - till 12:00 at noon on the departure day.

7.VISA SUPPORT DOCUMENT REQUEST

If requesting a “Visa Support Document” which is required in addition to the hotel voucher automatically generated when making a booking (i.e. purchasing the sub-product after choosing the hotel booking & prior to final payment) a deposit charge of 50 EUROS (from the credit card used) will be kept and released at arrival date if reservation is not canceled.

This Visa Support document will be sent within 24 hours as a separate document (If not received within 24 hours it is the customer’s obligation to remind BookHotelRUssia that this has not been received). This document will be sent either as;

 

  • Visa Support letter from the hotel clearly stating the reference number name, complete name, Date and place of birth as well as passport number
  • Visa Support letter from BookHotelRussia (On& EM Management SA) (in cooperation through an agent subcontracting hotels and travel service in Russia) clearly stating the reference number name, complete name, Date and place of birth as well as passport number.

Please note that the dates will be strictly according to reserved date in the reservation and for that specific property. For misuse and legal consequences misusing visa support please see below or contact your local Russian consulate in order to avoid being refused entry for the future.Carefully read the information below!

VISA APPLICATION PROCESS

To obtain Russian entry tourist visa, the following documents should be presented to Russian consulates:

  • A completed application form (one per person). Please note that the purpose of your visit should be tourism which should be mentioned as purpose of your visit in the application form at the Russian Consulate.
  • A valid national passport, validity should exceed the date of departure from Russia by 6 months;
  • 1-3 passport size photos (local variation might apply);
  • An invitation from an authorized Russian agent (visa support) which will be issued in Russian with Cyrillic letters (please double check that the validation date coincides with the actual travel date prior visit to consulate) which consists of a Visa Support Document & a Hotel confirmation (Voucher) 
  • An valid travel insurance (this could also be purchased, issued and provided by an approved Russian Operator)
  • Funds for payment

All foreign citizens are required to have valid Russian entry visas as well as a valid passport for entry to the Russian Federation. Your passport and Entry Visa will be checked and verified by the Passport Control Officer’s upon arrival and departure from Russia, at the hotel check-in, upon registration for purchasing tickets and when traveling by trains, ships, and airplanes with local or international companies. Russian visas are issued by Russian consulates in your home country, based on a Visa Support Letter and hotel voucher (invitation) from an authorized Russian agent or Hotel.

 

VISA INCLUSIONS: The visa fee is paid at respective Russian consulate. The charge varies according to your home country regulations and to the time period prior processing. The Russian entry tourist visa is inserted into the passport or stamped and covers one full page. It contains entry and exit dates, passport number and lists eventual accompanied children and states the visa type. If loosing or exceeding the duration of stay you might find difficulties with immigration upon departure and should notify your local operator immediately to avoid complications.

 

REGISTRATION: According to the legislation of the Russian Federation a foreign citizen must be registered with the Russian Migration Office for stay exceeding three days at the hotel (or privately) in the territory of the Russian Federation. Upon check-in at the hotel you are asked to submit your passport (including the valid visa) and your migration card. The Migration Card is distributed upon arrival prior to the customs or distributed on board the airplane or train prior arrival. The staff of the Hotel reception desk will carry out the whole procedure of your registration with the Migration authorities according to your documentation and without your participation and the passport and migration card will be given back within 24hours at the reception and should be kept together at all times.

 

  • The term of the tourist visa may be extended (a new entry visa may be granted) subject only to force majeure circumstances, as well as in cases of:
  • In-transportability supported with legally accepted documents issued by the medical institution;
  • Impossibility for the Guest to depart from the territory of the Russian Federation within the time limit in the visa in case of a flight delay or cancellation.
  • Only your authorized Russian agent can be engaged in the rather complicated procedure of visa prolongation with expenses / costs forwarded and charged.

TERMS & CONDITIONS

 

  • Please note that the visas can only be issued by the Russian Consulates in your home country based on an invitation from an authorized Russian Operator / Hotel / Agent (the authorized Russian Operator / Agent do not issue visas by itself).
  • The Visa Support Document provided through the system will be issued by an authorized Operator / Agent that is registered with the Ministry of Foreign Affairs (MFA) as a legal entity able to grant visa support. The company is empowered to engage in providing an invitation (Foreign Tourist Reception Confirmation and Tourist Voucher), which should be presented to Russian consulates in order to obtain a Russian tourist visa.
  • Visa support is granted only if the hotel where the guests will be staying has a passport office and provides Migratory registration of guests.
  • Visa support is only granted to cover the itinerary of Guest’s stay in the territory of the Russian Federation but no longer than for the duration of the stay at hotels and travel in the territory of the Russian Federation confirmed by travel papers on condition of 100% prepayment accommodation in the hotels, booked in the territory of the Russian Federation in accordance with the program confirmed. If the hotel accommodation and services are not booked through the system a tourist visa support will not be provided!
  • To receive visa support for obtaining a Russian entry tourist visa in combination to the confirmed / pre-paid accommodation in the system the following information must be filled in on the link provide above and submitted accordingly to instruction
  • Visa support can be refused without any explanation.
  • In case of the booking cancellation the amount of EUR 50 per person will be charged.
